Office Manager

Seeking an Office Manager - Open until April 27, 2019

Under the direct supervision of the Director, serves as office manager in the library's headquarters office, and provides assistance to the library's accountant in library financial operations.

CLERICAL DUTIES

• Handles business office correspondence with outside agencies using various technologies such as computer word processing, spreadsheets, database maintenance, faxing, electronic mail and Internet use.

• Assists with external contacts, local government officials, vendors and community groups.

• Works with new employees to complete benefit paperwork, open enrollment, tax forms and new hire forms, issues keys during orientation, maintains employee personnel files.

• Assists with bulk mailing of announcements, materials, board announcements or flyers. Serves as a notary public.

• Assists with purchasing and maintaining supplies for 3 branches, communicate with managers and compile supply lists for Director’s approval.

FINANCIAL DUTIES

• Maintaining consolidated employee leave totals, works with accountant to process monthly payroll, timesheets, leave time reporting and government reports for 20 employees.

• Receive and process appropriations, maintain invoice and funding agency files.

• Assists accountant in the operation of the library's computerized accounting system. Maintains a working knowledge of the system and helps with data entry, reconciliation of accounts, and file maintenance.

• Prepare cash reports for 2 branches and maintains weekly records. Make deposits to local bank.

• Assists accountant in responding to the inquiries of auditor who monitor the library's financial activities.

• Maintains an understanding of the interconnection of all library service areas, to provide temporary assistance when necessary.

• Maintains the library's General Fixed Assets inventory database,corrdinating the receiving and conformation of equipment.

EDUCATION/EXPERIENCE

• High school graduate with a good record, college or technical school coursework,2-5 years experience in bookkeeping, accounting, secretarial and/or office management work preferred.
• Valid GA Drivers license and reliable transportation for daily local travel.

Requirements:

• Above average proficiency with computers, experience with Microsoft office, WORD and Excel is required
• Excellent oral, written and mathematical skills.
• Proficient in typing, filing, data entry and use of office equipment.
• Must demonstrate the ability to maintain a high level of accuracy and dependability.
• Ability to deal with financial and personnel records in a confidential and impartial manner.
• Ability to meet and serve the public and work well with other staff members throughout the library.
• Ability to follow through on long-term projects with attention to detail and accuracy.
• Ability to work closely with and follow the lead of an experienced accountant.
• Ability to sit or stand for prolonged periods of time and ability to do repetitive movements.
• Physical ability to bend, reach and climb.
• Work is generally scheduled during the week Monday- Friday, 9-5 occasional nights or weekends due to library functions may be required.

SALARY

40 hours per week at $38,000- 42,000 a year includes annual and sick leave, TRS and state health benefits.
